What Is an Invoice?

An invoice is a formal request for payment after a product or service has been delivered. It states who is paying, who is getting paid, what was delivered, and how much is due. It is one of the most common business documents because it creates a clear record of revenue and customer obligations.

Even the obvious information matters. The invoice date, a unique invoice number, and the company contact details make the document traceable and enforceable. Without those basics, it is just a note, not a real invoice.

Data You Need for an Invoice

• Company logo: visual branding at the top of the document.
• Company name: the legal entity issuing the invoice.
• Address: the mailing address or registered address.
• Tax number: VAT, sales tax, or company registration number.
• Telephone: a phone number for billing questions.
• Physical address: often repeated if different from postal address.
• Invoice number: a unique reference for tracking.
• Invoice date and due date: when it was issued and when payment is due.
• Customer details: who the invoice is for.
• Line items: description, quantity, unit price, and totals.
• Sub-total, tax, total: clear payment breakdown.
